Dear Colleagues,
As our ministry continues the work to ensure a successful TogetherCare implementation on March 18, 2023, we would like to provide you with some pertinent information and dates to keep on your radar.
TogetherCare Training
While there are similarities with our current version of Epic, there are nuances with TogetherCare that will impact your workflows. The TogetherCare team has designed a training curriculum to highlight the valuable features of our singular instance of Epic. While some of the training may seem like information we already know, we must pay close attention to the variations between what we do today and what we will do going forward after March 18, 2023.
Training began on December 5th for all users.
Employed ambulatory providers, in general, should have had interactions with managers in helping get them set up to avoid scheduling conflicts. Others, including non-employed ambulatory providers and inpatient providers, may need to sign up for training if they have not yet done so.
We would recommend letting your manager know that you are going to training in case there are any scheduling concerns.
Users who do not complete mandatory training and associated End User Proficiency Assessments (EUPA) will not be granted access to Epic. Attend training early and pass your EUPA to ensure you can access Epic at Go Live. Training Login blocks will be added to any Epic account where the user has not successfully completed all training and EUPA.
You should have received HealthStream notifications to sign in. Once you are in HealthStream, there are some in-person classes that we all have to attend, along with videos that need to be done online.
We have created HealthStream accounts for everyone who received the emails and the TogetherCare team has assigned training based on the security needed.
Employed colleagues will use their WorkdayID as their username for HealthStream.
Here is how non-employed colleagues can login to the system:
Go to HealthStream: http://www.healthstream.com/hlc/trinityhealth
Use your current Epic username. For the password, add: SYNE before our username. For example, if your EPIC username is abc1234, your password is SYNEabc1234.
You will then be prompted to change your password, and must do so to continue.
Once in, you will see in your TO DO list the two sets of curricula listed in the email(s).
The curricula with the suffix of “Part 1” listed is a group of interactive e-learning videos that will need to be completed (a green checkmark denotes a completed task).
You will also need to open the curricula with the suffix of “Part 2”. This will show you options about a live class you can take at St. Joseph’s Health to complete the second part of training. Work with your manager to determine a time to take the class.

Epic Personalization
Personalization is designed to help clinicians be more effective and efficient using Epic to care for their patients. Through personalization, clinicians can better manage their in-Basket, review of patient information, notes, orders, and preference lists. Due to system limitations, your personalization from our current Epic system could not be converted to the Epic TogetherCare platform.
Personalization lab sessions will start on February 6th and continue through March 10th. Training must be completed before Personalization can occur. Note that Personalization will end March 10th, eight days before GO-LIVE. Between March 10th – March 18th, NO ONE can do any personalization, so plan accordingly. Health Informatics will work with you on saving your current dot phrases and order panels to facilitate the transition of your preferences into the TogetherCare version of Epic.
